Sharing & Visibility

Every workspace item (collection, assistant, or prompt template) has a visibility that controls who else in the active Space can see and use it.

Shared with groupsThe creator plus the specific groups the item is shared with.
PublicEveryone in the Space. Whether users can create public items at all is controlled by an admin setting.

When an item is shared with a group, that group is granted one of two access levels:

ReadUse the item (e.g. reference a collection in a chat, run an assistant, invoke a prompt template).
WriteUse the item and edit it in the workspace.

Sharing is always scoped to the active Space:

  • You can only share with groups that exist in the current Space.
  • A shared item is only visible inside that Space — it cannot be referenced from another Space, even if the user has access to both.
  • Groups themselves are Space-scoped, so a group named engineering in Space A is unrelated to a group of the same name in Space B.
